ThreadWare is built from modules - Sales, Production, Quality and so on. An administrator gives you a role in each module, for each company you work in. The menu is built from those roles. So if something in this guide is not in your menu, it has not been given to you yet. Ask your administrator, or log a support ticket. To see what you currently hold, click your initials in the top right and choose My Access & Roles.
This module holds personal data about real people. Access to it is tightly controlled on purpose.
Can I use it?
| Role | What you can see |
|---|---|
| My Time & Attendance | Your own clocking records only. Nobody else's. |
| T&A Viewer | Daily reports, clockings and exceptions for all employees. |
| Emergency Muster Viewer | The emergency muster list, and nothing else. For fire wardens and safety officers. |
| Leave Viewer | The Leave page for everyone - who is on leave, including sick leave, and where leave and clockings disagree. It is a separate role because sick leave is health information: T&A Viewer does not include it, and a Leave Viewer sees no other T&A page. Everyone else with a T&A role sees only their own leave. |
| T&A Admin | Settings and full visibility, including everyone's leave. |
ThreadWare matches you to the clocking machine using your employee number. If yours is blank or wrong, you will see the message "Your account has no employee number recorded" and no records, even with the right role.
Ask an administrator to set it under
Administration ▸ Users & Organisation ▸ User Admin.
Leading zeros matter: 000189 is not the same as 189.
A newly registered account that an administrator has not approved yet sees no clocking data at all, whatever number was typed at registration. That is deliberate - the number you type is only trusted once somebody has checked it.
Where to find it
Menu ▸ Time & Attendance
| Page | What it shows |
|---|---|
| Daily Report | Who was in on a given day, and their hours. The usual starting point. |
| Clocking Detail | Every individual clock in and out, unprocessed. |
| Exceptions | Anything that does not add up - a missing clock-out, an impossible shift, a double clock-in. |
| Lost Time & Breaks | Time paid but not worked, by employee and by reason. |
| Short-Break Patterns | Repeated short absences that individually look harmless but add up. |
| Tailgating | Where one badge appears to have let more than one person through. |
| Leave | Who is on leave today and in the weeks ahead, from the payroll's leave bookings, and where leave and clockings disagree. See below. |
| Emergency Muster | Who is currently on site. See below. |
| T&A Settings | Rules and thresholds. Needs T&A Admin. |
Emergency Muster - use it before you need it
The muster page lists who is currently clocked on site. In an evacuation it is the list you check names against at the assembly point.
Open it once now, while nothing is happening, so you know where it is and what it looks like. On a phone, bookmark it. Fumbling for a page during an evacuation is not the moment.
It has its own role, Emergency Muster Viewer, so a fire warden can be given this one page without seeing everybody's hours.
Visitors checked in through Visitor Cards appear under each muster point in their own list, with their own count, and the page shows a separate Visitors on site figure. Never add it to the employee figures - a visitor stays listed until security checks them out. A T&A Admin links each muster point to the company site visitors are booked at, under T&A Settings → Visitor sites; visitors at an unlinked site still appear, on a panel of their own.
Leave - who is out, and does the clocking agree?
The Leave page reads the leave bookings that payroll records (annual, sick, family responsibility, unpaid, and so on). ThreadWare does not book, approve or change leave - payroll does. This page shows it next to the clockings.
It opens on today and the next three weeks. At the top, four tiles: how many people are out today, out this week, out in the whole range, and how many of today's absences were unplanned (sick, family responsibility, unpaid). Under them, three tabs:
| Tab | What it shows |
|---|---|
| Who's out | A wall chart - one row per employee, grouped by department, one column per day. A coloured block is a day of leave; the colour is the kind of leave (legend above the chart), a striped block is a part day, and today's column is outlined. Hover or tap a block for the booking's details. The chart is drawn for ranges up to about two months; for longer ranges use the list. |
| Leave list | The same bookings as a sortable table, with an Excel export. "Unplanned" marks sick, family responsibility and unpaid leave; "no recent clocking" means the name came from payroll because the person has not clocked in the last four months. |
| Leave vs clockings | For the days in the range that are already over: clocked while on leave (a booking says leave, the readers say they came in) and absent, no leave (a scheduled working day with no clocking and no booking). Pick Last 30 days for a normal month-end check. |
It judges only days that are over, and only where T&A Settings → Shift schedule says the department works that weekday. Days it cannot judge are counted in a note above the table, never quietly dropped. It does not know public holidays: on a holiday everyone who is not on leave shows as "absent, no leave" for that one date - treat a whole department on one date as a holiday, not a walk-out. A half-day booking with a clock-in is listed but marked "part day", because it may be perfectly correct.
Filters: the usual date range, department and employee, plus the kind of leave and a switch to show cancelled bookings (off by default). Everyone's leave needs the Leave Viewer role (or T&A Admin); with any other T&A role - T&A Viewer included - you see your own bookings only, and the page says so.
Everyday jobs
Check your own hours
With the My Time & Attendance role you see your own records and nobody else's. If the numbers look wrong, raise it with your supervisor - clocking data comes from the readers at the door, and ThreadWare reports it rather than deciding it.
Investigate an exception
- Open Exceptions and pick the date range.
- Find the employee and read what the exception is.
- Cross-check against Clocking Detail for the raw punches that day.
- Correct at source - most exceptions are a forgotten clock-out, not a system problem.
See who is off next week
- Open Leave and press Next 7 days (or leave the default three weeks).
- Pick your department in the filter and press Apply.
- Read the wall chart: every coloured block is a day somebody is away. Two blocks in one column is two people out on the same day.
Export a report
The list pages have an export button that writes an Excel file including the title, the filter you applied and the date it was generated, so the spreadsheet explains itself later.
When something looks wrong
| What you see | What it means |
|---|---|
| "Your account has no employee number recorded" | Exactly that. An administrator must add it. |
| You see nothing at all, but have a role | Either no employee number, or your account has not been approved yet. |
| You see your own records only | You hold My Time & Attendance. Seeing others needs T&A Viewer. |
| Your hours look wrong | Check Clocking Detail for the raw punches. A missing clock-out is the usual cause. |
| Somebody else's records appear under your number | Two people may share an employee number. Tell an administrator - there is a separate field to tell you apart. |
| Muster looks short | It lists people who clocked in. Anyone who came in without clocking will not be on it. |
